When Adam Hamilton stepped into the role of Technology Director at Marshall County School District in Holly Springs, Mississippi, he inherited a fast-growing technology environment with limited margin for error. Serving roughly 2,750 students across a geographically large district, Marshall County operates as a one-to-one Google Workspace district with a small IT team supporting thousands of devices and users spread across nearly 90 miles of campuses.
“Cloud Monitor fills a major blind spot for us. It gives me a level of insight into our Google Workspace environment that I never had before, and it’s something I truly depend on.”
— Adam Hamilton, Technology Director, Marshall County School District
Marshall County has been a ManagedMethods customer since 2022, using Cloud Monitor to bring much-needed visibility into their Google Workspace environment. For Adam, the platform quickly became a critical part of how he protects the district’s data, users, and reputation without adding more strain to an already lean team.
Before adopting Cloud Monitor, Marshall County’s approach to Google security was largely reactive. “We would face the problem as it arises,” Adam explained. “We weren’t able to be proactive, so we weren’t able to scale with our changing environment.”
“As a small IT team, Cloud Monitor replaces having another person at times. Instead of constantly digging through logs, I get clear alerts and can take action quickly without adding a ton more work to my plate.”
— Adam Hamilton, Technology Director, Marshall County School District
That challenge intensified during and after COVID, when the district rapidly expanded to a one-to-one device model. Like many districts during that time, they needed the devices to continue education, but they didn’t have enough time to put a strategy in place. “The state bought every kid a device during COVID, and it became a sort of ‘Now what do we do?’ situation,” Adam recalls.
Without dedicated cybersecurity and safety monitoring in place, gaining insight into risky behavior, data exposure, or misuse inside Google Workspace was essentially impossible, especially for a small team already stretched thin.
“Fighting VPNs used to be the bane of my existence. Cloud Monitor detects them as soon as they hit and helps stop students from bypassing our safeguards, which saves me an incredible amount of time and helps keep them safe.”
— Adam Hamilton, Technology Director, Marshall County School District
When a Mississippi state auditor analyzed all school districts’ technology and security logs and published a report highlighting areas where districts needed to improve their cybersecurity, Adam and the rest of the district staff took the recommendations seriously and moved to strengthen their data security and student safety strategy.
Noticing that the report specifically commended one of his peers in another district, Adam picked up the phone to have a chat and learn more about what they were doing.
“He shared with us what tools they were using, and one of them was Cloud Monitor,” recalls Adam. “We were using the same tools he described, except Cloud Monitor, so we decided we should look into it.”
Adam went to the ManagedMethods website and set up a demo to learn more. “We did the call with ManagedMethods and, when it finished, we were like, ‘Why don’t we have that?’”
“Before Cloud Monitor, we had no Google monitoring for data security or behavioral issues,” Adam explains. “We were assuming nothing was going wrong. And now I know that’s not the best way to handle things.”
Adam and Marshall County School District were by no means alone in this assumption. Most school districts, even now, are unaware of gaps in their cybersecurity and student safety controls in Google Workspace. Luckily, they used their learning experience to get ahead of the curve by partnering with ManagedMethods.
With Cloud Monitor in place, Marshall County gained immediate insight into activity across Google Workspace, helping Adam stay ahead of issues rather than react after damage was done. “Because of Cloud Monitor, I have a better understanding of what’s going on in our network than I ever had before,” he says.
In addition to better cybersecurity and student safety, one of the biggest benefits Adam experiences is time savings. “Cloud Monitor replaces having another person at times,” he explains. Instead of constant manual monitoring, he gets real-time alerts and scheduled reports. “I know I can go into the Google admin console and do 90% of this stuff. But I have to remember every little search parameter each time. Plus, they change the UI all the time. They make it incredibly complicated, and I simply don’t have the time for that. Cloud Monitor pulls it all together for you in a way that is remarkably easy to take action on.”
Cloud Monitor has also proven especially valuable for controlling risky third-party apps and VPN use. “Fighting VPNs is the bane of my existence,” Adam shares. “Cloud Monitor detects a VPN as soon as it hits and automates actions for me. Its app controls and policy violations help ensure students aren’t misusing district accounts or bypassing our safeguards.”
Real-world incidents have reinforced Cloud Monitor’s value. In one case, Adam quickly responded to a phishing email impersonating a law firm invite that contained malware. “I was able to go into Cloud Monitor and get rid of it for our business manager and all her people. Just delete it immediately,” he said. Being able to act quickly didn’t just protect Marshall County; Adam also warned his peers across the state that an active attack targeting schools was underway.
“If I were told I couldn’t have Cloud Monitor anymore, I would go fight for it. It saves me time, reduces our cybersecurity risk, and helps us stay proactive instead of reactive.”
— Adam Hamilton, Technology Director, Marshall County School District
For Adam, Cloud Monitor fills a critical gap. “It fills a major blind spot,” he says. “Cloud Monitor is something we depend on and provides value every day. If I were told I couldn’t have it anymore, it would be something I would go fight for.”
By providing a small IT team with enterprise-level visibility into Google Workspace, ManagedMethods Cloud Monitor has helped Marshall County School District reduce risk, save time, and protect students and staff.
